The same week I was supposed to run brainstorming sessions, in-person, with people who don\u2019t usually \u201cdo brainstorming.\u201d<\/p>\n<p class=\"pageWrap pageWrap--s marginBottom-m paddingBottom-s c-slate lineHeight-l fontSize-l fontWeight-3 breakPointM-fontSize-xl breakPointM-lineHeight-xl\">I spoke to the design team the day before the first session to ask, \u201cCan we do this? Is it going to be awkward?\u201d The answer to both of those questions was a resounding, \u201cYes.\u201d<\/p>\n<p class=\"pageWrap pageWrap--s marginBottom-m paddingBottom-s c-slate lineHeight-l fontSize-l fontWeight-3 breakPointM-fontSize-xl breakPointM-lineHeight-xl\">We did it. Then we did it again and again. It\u2019s working. We\u2019re brainstorming remotely and churning out ideas as if we\u2019re all standing in front of the same whiteboard.<\/p>\n<p class=\"pageWrap pageWrap--s marginBottom-m paddingBottom-s c-slate lineHeight-l fontSize-l fontWeight-3 breakPointM-fontSize-xl breakPointM-lineHeight-xl\">If your team is new to working remotely, brainstorming, or both, here are some tips for you.<\/p>\n<p class=\"pageWrap pageWrap--s marginBottom-m paddingBottom-s c-slate lineHeight-l fontSize-l fontWeight-3 breakPointM-fontSize-xl breakPointM-lineHeight-xl\"style=\"text-align: center;\"><img class=\"size-full\" title=\"\" alt=\"\" \/><a class=\"link link--blue fontWeight-4\"href=\"https:\/\/marvel7077.wpengine.com\/wp-content\/uploads\/2020\/04\/1BmugLHDZGCbpLzCN6DfACA.gif\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-6580 size-full\" title=\"How to Brainstorm With Your Newly Remote Team cursors\" src=\"https:\/\/marvel7077.wpengine.com\/wp-content\/uploads\/2020\/04\/1BmugLHDZGCbpLzCN6DfACA.gif\" alt=\"\" width=\"1196\" height=\"598\" \/><\/a>Happy little cursors.<\/p>\n<p class=\"pageWrap pageWrap--s marginBottom-m paddingBottom-s c-slate lineHeight-l fontSize-l fontWeight-3 breakPointM-fontSize-xl breakPointM-lineHeight-xl\"><em>Note: In the examples below, we used Google Hangouts, Slack, and Miro (Free).<\/em><\/p>\n<p class=\"pageWrap pageWrap--s marginBottom-m paddingBottom-s c-slate lineHeight-l fontSize-l fontWeight-3 breakPointM-fontSize-xl breakPointM-lineHeight-xl\">Words to (remote) work by: Plan, communicate, and, above all, adapt.<\/p>\n<h2 class=\"pageWrap pageWrap--s marginTop-xl marginBottom-l c-black lineHeight-xl fontSize-xl fontWeight-5 breakPointM-lineHeight-xxl breakPointM-fontSize-xxl\" style=\"margin-left: auto; margin-right: auto;\">1. In the words of @DHH: Write it down.<\/h2>\n<p class=\"pageWrap pageWrap--s marginBottom-m paddingBottom-s c-slate lineHeight-l fontSize-l fontWeight-3 breakPointM-fontSize-xl breakPointM-lineHeight-xl\">If there\u2019s something you\u2019re going to say that people need to remember during the meeting: write it down.<\/p>\n<ul class=\"pageWrap pageWrap--s list list--unordered marginBottom-l lineHeight-l fontSize-l fontWeight-3 breakPointM-fontSize-xl breakPointM-lineHeight-xl\">\n<li><strong class=\"c-slate lineHeight-l fontSize-l fontWeight-5 breakPointM-fontSize-xl breakPointM-lineHeight-xl\">Write down instructions for brainstorming exercises. <\/strong>You can explain it over audio, but connections are laggy, syllables and sentences get lost. Writing it down gives people the confidence that they understood, and they can reference it during the activity. Pro tip: If you have multiple activities and don\u2019t want people to see everything right away, draw a rectangle on top of them, then delete it later to reveal the instructions.<\/li>\n<li><strong class=\"c-slate lineHeight-l fontSize-l fontWeight-5 breakPointM-fontSize-xl breakPointM-lineHeight-xl\">Share information that people need to reference during the activity. <\/strong>There\u2019s often information people are using as a starting point for an exercise, make sure they have it. As an example, I write down the goal of the activity on our Miro board and put the research finding summary in a slide deck or directly on the board. If you can: Share links to the boards and documents ahead of time.<\/li>\n<li><strong class=\"c-slate lineHeight-l fontSize-l fontWeight-5 breakPointM-fontSize-xl breakPointM-lineHeight-xl\">Don\u2019t forget to make it inclusive.<\/strong> Choose tools that have caption features so that everyone can follow the conversation. Captions help everyone: hearing-impaired, those who aren\u2019t using their native language, and anyone with a bad internet connection.<\/li>\n<\/ul>\n<p class=\"pageWrap pageWrap--s marginBottom-m paddingBottom-s c-slate lineHeight-l fontSize-l fontWeight-3 breakPointM-fontSize-xl breakPointM-lineHeight-xl\"style=\"text-align: center;\"><img class=\"size-full\" title=\"\" alt=\"\" \/><a class=\"link link--blue fontWeight-4\"href=\"https:\/\/marvel7077.wpengine.com\/wp-content\/uploads\/2020\/04\/1NluWy25DRx4MsdSgQqjFrg.png\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-6580 size-full\" title=\"How to Brainstorm With Your Newly Remote Team instructions\" src=\"https:\/\/marvel7077.wpengine.com\/wp-content\/uploads\/2020\/04\/1NluWy25DRx4MsdSgQqjFrg.png\" alt=\"\" width=\"1738\" height=\"956\" \/><\/a>Instructions are written on the board for everyone to reference. The layers are locked down to prevent accidental moving or deleting.<\/p>\n<h2 class=\"pageWrap pageWrap--s marginTop-xl marginBottom-l c-black lineHeight-xl fontSize-xl fontWeight-5 breakPointM-lineHeight-xxl breakPointM-fontSize-xxl\" style=\"margin-left: auto; margin-right: auto;\">2. Use a warm-up activity to onboard to new tools.<\/h2>\n<p class=\"pageWrap pageWrap--s marginBottom-m paddingBottom-s c-slate lineHeight-l fontSize-l fontWeight-3 breakPointM-fontSize-xl breakPointM-lineHeight-xl\">When you\u2019re first transitioning to working remotely, people are learning to use applications in new ways. Using a warm-up activity gives your team a low-pressure environment to get accustomed to the controls and behaviour of using a new tool.<\/p>\n<p class=\"pageWrap pageWrap--s marginBottom-m paddingBottom-s c-slate lineHeight-l fontSize-l fontWeight-3 breakPointM-fontSize-xl breakPointM-lineHeight-xl\"><strong class=\"c-slate lineHeight-l fontSize-l fontWeight-5 breakPointM-fontSize-xl breakPointM-lineHeight-xl\">Here\u2019s the activity we did to start using Miro:<\/strong><\/p>\n<ol class=\"pageWrap pageWrap--s list list--ordered marginBottom-l lineHeight-l fontSize-l fontWeight-3 breakPointM-fontSize-xl breakPointM-lineHeight-xl\">\n<li>Before people open the board, create a sticky note for each person with their name on it.<\/li>\n<li>When people open the board, \u201cFind the note with your name on it.\u201d<br \/>\n(Learn: navigating around the board)<\/li>\n<li>\u201cClick your note and drag it to a space where you can work.\u201d<br \/>\n(Learning: how to move things, that you can see each other\u2019s work)<\/li>\n<li>\u201cDouble-click your note to type in it. Type in an everyday object.\u201d<br \/>\n(Learning: how to type in a note)<\/li>\n<li>\u201cMake a copy of the note by pressing ALT and click-dragging it or using Command-C and -V.\u201d<br \/>\n(Learning: how to make multiple notes, how to duplicate a note)<\/li>\n<li>\u201cHow\u2019s everyone doing with that? Any questions?\u201d Double-check that everyone was able to do it successfully.<\/li>\n<li>\u201cHere\u2019s the activity: You have 2 minutes to think of as many uses for your object as you can.\u201d<\/li>\n<li>After 2 minutes have passed, \u201cWe\u2019re going to share our favourite one and craziest one. I\u2019ll call you each by name, and you can share with the group.\u201d<br \/>\n(Learning: Unmute\/mute microphone while using multiple tools)<\/li>\n<\/ol>\n<p class=\"pageWrap pageWrap--s marginBottom-m paddingBottom-s c-slate lineHeight-l fontSize-l fontWeight-3 breakPointM-fontSize-xl breakPointM-lineHeight-xl\">This 5-minute activity taught everyone on the team how to use Miro without feeling the pressure of brainstorming at the same time.<\/p>\n<p class=\"pageWrap pageWrap--s marginBottom-m paddingBottom-s c-slate lineHeight-l fontSize-l fontWeight-3 breakPointM-fontSize-xl breakPointM-lineHeight-xl\"style=\"text-align: center;\"><img class=\"size-full\" title=\"\" alt=\"\" \/><a class=\"link link--blue fontWeight-4\"href=\"https:\/\/marvel7077.wpengine.com\/wp-content\/uploads\/2020\/04\/1dTK2Kt9IzafdOYnZHmJm2g.png\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-6580 size-full\" title=\"How to Brainstorm With Your Newly Remote Team starter notes\" src=\"https:\/\/marvel7077.wpengine.com\/wp-content\/uploads\/2020\/04\/1dTK2Kt9IzafdOYnZHmJm2g.png\" alt=\"\" width=\"1252\" height=\"798\" \/><\/a>Starting notes to welcome everyone to the board. (Names in image are not actual names of team members)<\/p>\n<h2 class=\"pageWrap pageWrap--s marginTop-xl marginBottom-l c-black lineHeight-xl fontSize-xl fontWeight-5 breakPointM-lineHeight-xxl breakPointM-fontSize-xxl\" style=\"margin-left: auto; margin-right: auto;\">3. Be flexible.<\/h2>\n<p class=\"pageWrap pageWrap--s marginBottom-m paddingBottom-s c-slate lineHeight-l fontSize-l fontWeight-3 breakPointM-fontSize-xl breakPointM-lineHeight-xl\">We each know how we think most creatively, and that\u2019s not something that changes overnight just because the policy did. Transitioning to a new way of working means there\u2019ll be hiccups, but you can anticipate and plan for many of them.<\/p>\n<ul class=\"pageWrap pageWrap--s list list--unordered marginBottom-l lineHeight-l fontSize-l fontWeight-3 breakPointM-fontSize-xl breakPointM-lineHeight-xl\">\n<li><strong class=\"c-slate lineHeight-l fontSize-l fontWeight-5 breakPointM-fontSize-xl breakPointM-lineHeight-xl\">Give people the freedom to brainstorm in the tool (physical or digital) that works for them<\/strong>, and plan to regroup in a single tool (such as Miro) when the exercise moves to group discussion.<\/li>\n<li><strong class=\"c-slate lineHeight-l fontSize-l fontWeight-5 breakPointM-fontSize-xl breakPointM-lineHeight-xl\">Expect to use multiple tools \u2014 and, sometimes, multiple calls. <\/strong>One tool is unlikely to solve all of your needs, especially when brainstorming. You may find yourself moving from one app to the next and back again \u2014 much the same way you move from markers to sticky notes and back to markers. Yesterday, we did brainstorming in pairs, within a group call, and one pair had the idea to start a secondary audio-call for just the two of them.<\/li>\n<li><strong class=\"c-slate lineHeight-l fontSize-l fontWeight-5 breakPointM-fontSize-xl breakPointM-lineHeight-xl\">Some things will take longer than expected. <\/strong>Because people are learning a new way of working and moving between tools, some activities might take longer than they would in person. Near the end of the planned time, see if cursors are still moving in the collaborative board and ask if people need more time.<\/li>\n<\/ul>\n<h2 class=\"pageWrap pageWrap--s marginTop-xl marginBottom-l c-black lineHeight-xl fontSize-xl fontWeight-5 breakPointM-lineHeight-xxl breakPointM-fontSize-xxl\" style=\"margin-left: auto; margin-right: auto;\">4. Facilitate like the leader you are.<\/h2>\n<p class=\"pageWrap pageWrap--s marginBottom-m paddingBottom-s c-slate lineHeight-l fontSize-l fontWeight-3 breakPointM-fontSize-xl breakPointM-lineHeight-xl\">It\u2019s more important than ever to lead the meeting and check in regularly because when the cameras are off, and everyone\u2019s muted, you won\u2019t be able to get a read of the room. Silence has never been so silent.<\/p>\n<ul class=\"pageWrap pageWrap--s list list--unordered marginBottom-l lineHeight-l fontSize-l fontWeight-3 breakPointM-fontSize-xl breakPointM-lineHeight-xl\">\n<li><strong class=\"c-slate lineHeight-l fontSize-l fontWeight-5 breakPointM-fontSize-xl breakPointM-lineHeight-xl\">Explain everything, but pace yourself.<\/strong> Since you likely can\u2019t see everyone, you can\u2019t tell if everyone is following along. Present information in sections, then pause for questions.<\/li>\n<li><strong class=\"c-slate lineHeight-l fontSize-l fontWeight-5 breakPointM-fontSize-xl breakPointM-lineHeight-xl\">Ask if people have questions.<\/strong> Silent pauses are awkward for everyone in meetings. They don\u2019t know if your connection stopped or if you\u2019re looking for something. When you ask for questions, be okay with at least 5 seconds of silence. People may need time to unmute or could be waiting to see if someone else wants to talk.<\/li>\n<\/ul>\n<h2 class=\"pageWrap pageWrap--s marginTop-xl marginBottom-l c-black lineHeight-xl fontSize-xl fontWeight-5 breakPointM-lineHeight-xxl breakPointM-fontSize-xxl\" style=\"margin-left: auto; margin-right: auto;\">5. Ask for feedback.<\/h2>\n<p class=\"pageWrap pageWrap--s marginBottom-m paddingBottom-s c-slate lineHeight-l fontSize-l fontWeight-3 breakPointM-fontSize-xl breakPointM-lineHeight-xl\">The first session \u2014 the first five sessions, even \u2014 will be clumsy, and there\u2019ll be awkward moments. Like everything else we do, we iterate. Reflect on the meetings, on your own and with your team.
